Great American Tours Refund Policy

At Great American Tours, we strive to provide the best experience for our customers. We understand that plans may change, so we have outlined our Refund and Cancellation Policy below. Please read this policy carefully before booking a tour.

1. Cancellation by Customer

If you need to cancel your booking, our refund policy is as follows:

Standard Tours:

  • Cancellations made more than 30 days before the tour date → Full refund (minus processing fees).
  • Cancellations made within 15-29 days of the tour date → 50% refund (minus processing fees).
  • No refunds for cancellations made within 14 days of the tour date.
  • No-shows or late arrivals → No refund will be issued.

Private & Custom Tours:

  • Cancellations made more than 30 days before the tour date → Full refund (minus processing fees).
  • Cancellations made within 15-29 days of the tour date → 50% refund (minus processing fees).
  • No refunds for cancellations made within 14 days of the tour date.
  • No-shows or late arrivals → No refund will be issued.

Multi-Day Tours & Special Events:

  • All deposits and payments are non-refundable unless otherwise stated.
  • Due to high demand and advance planning, refunds are not available for cancellations.

Refunds for Partial Payments & Deposits

If a customer has made a partial payment but has not completed full payment, only the refundable portion of the amount paid (if applicable) will be returned, minus processing fees. Deposits remain non-refundable unless otherwise stated. If cancellation occurs within a non-refundable period, no refunds will be issued, even for partial payments. Customers who have not completed full payment remain responsible for any outstanding balances per the agreed payment terms. If a customer cancels within a non-refundable period, they will still be liable for the full amount due, and any unpaid balances will be collected per our payment policy. Failure to make timely payments may result in additional administrative fees, suspension of booking privileges, or third-party collection efforts.

Customers agree to attempt resolution with Great American Tours before initiating a chargeback. Fraudulent chargebacks will result in loss of future booking privileges and may be pursued legally. If a customer initiates a chargeback or payment dispute after canceling a tour, Great American Tours reserves the right to dispute the chargeback and provide all relevant documentation to the payment provider. Any chargeback attempt that is found to be fraudulent, deceptive, or in violation of this Refund Policy will result in the forfeiture of any future booking privileges, and legal action may be pursued to recover disputed funds

2. Rescheduling Policy

  • Rescheduling more than 30 days before the tour date → Free rescheduling, subject to availability.
  • Rescheduling within 15-29 days of the tour date → Subject to a 50% rescheduling fee.
  • Rescheduling 1-14 days before the tour date → Permitted with a 75% rescheduling fee, subject to availability. No guarantee of rescheduling if fully booked.
  • Rescheduling fees are non-refundable, and any rescheduled tour is final. Customers may not cancel a rescheduled tour for a refund or further rescheduling. If a customer fails to attend the rescheduled tour, the booking will be forfeited with no refund or additional rescheduling options.
  • No-shows or same-day rescheduling → Not permitted; no refund issued.

We will make every effort to accommodate reschedule requests, but availability is not guaranteed.

3. Cancellation by Great American Tours

We reserve the right to cancel or modify a tour due to circumstances beyond our control, including but not limited to:

  • Weather Conditions: If severe weather makes the tour unsafe, we will reschedule or issue a full refund.
  • Low Booking Numbers: If a tour does not meet the required number of participants, we may cancel and offer a refund or reschedule.
  • Unexpected Events: Natural disasters, government restrictions, or other unforeseen circumstances.

If we cancel a tour, you will receive a full refund or the option to reschedule. We are not responsible for additional costs (e.g., flights, hotels, transportation).

4. Refund Process

  • Refund requests must be made in writing by emailing tours@greatamericantours.com.
  • Approved refunds will be processed within 14 business days to the original payment method used at the time of booking. Refunds will not be issued via alternative methods (e.g., cash, check, or different credit cards).
  • All payments are subject to non-refundable processing fees, which are deducted before any refund is issued. These fees cover administrative costs and third-party payment processing charges. Processing fees are non-refundable under all circumstances, including cancellations, force majeure events, or disputes.

Refund Request Deadline

Customers must submit refund requests within 7 days of the original tour date. Refund requests made after this period will not be considered.

5. Late Arrivals & No-Shows

  • Tours start promptly at the scheduled time.
  • If you arrive late or do not show up, you will not be eligible for a refund or rescheduling.
  • We recommend arriving at least 45 minutes early to avoid missing your tour.

6. Travel Insurance Recommendation

We highly recommend purchasing travel insurance to protect against unforeseen cancellations, trip delays, or emergencies.
